What Types of Outreach Tools Do Sales Teams Actually Need in 2027?

TL;DR
  • Outreach tools fall into four types: email (sequences at scale), LinkedIn (connection and message automation), phone (dialers and call coaching), and multi-channel (all of them in one sequence).
  • In Smartlead customer data from Q4 2024, reply rates climbed from 2.3% on email alone to 22.1% on sequences using four or more channels. It's an average across customers, not a controlled test.
  • In Smartlead's State of Cold Email 2026 data (850M+ emails), the typical sender earns one reply per 135 contacts and the top 10% need 38. List quality, bounce rate and mailbox load explain most of that gap.
  • You rarely need four separate tools. Most teams do well with one multi-channel platform, one CRM and one calendar tool.
  • Pricing models matter as much as price. Per-seat tools like Lemlist, Reply.io and Outreach multiply with headcount. Volume-based tools like Smartlead and Instantly don't charge per mailbox.
  • Smartlead covers all four types from $39 a month, with unlimited mailboxes on every plan. LinkedIn steps and SmartDialer calling are add-ons. On the Unlimited Smart and Prime plans, contact storage is unlimited and verified prospect emails are included. Smartlead also has a built-in CRM, called Smart Funnel, for tracking deals.

Open your sales stack and count the tabs. An email sender.

A LinkedIn tool living in a Chrome extension. A dialer.

A spreadsheet holding all of it together, and a Slack message from someone asking whether Tuesday's reply ever got answered.

That's what shopping for outreach tools looks like in practice.

The category is crowded, the labels are fuzzy, and nearly every vendor now puts "multi-channel" on the homepage. A tool that started as an email sender adds a calling step. A dialer bolts on sequences. After a while you can't tell what you're buying.

So here's a cleaner way to sort it. Outreach tools come in four types: email, LinkedIn, phone, and multi-channel platforms that combine them.

This guide covers 17 tools across those four types, a note on where each one fits, and a decision framework at the end. We make one of them (Smartlead), so we've spelled out what it includes and what costs extra.

What Is Outreach Software, and How Do the Four Types Differ?

Outreach software is any tool that automates the repetitive parts of reaching prospects: building sequences, sending messages, tracking replies and booking meetings. Outreach tools split into four types by channel: email, LinkedIn, phone, and multi-channel platforms that run several channels in one sequence.

Most teams start with one type and add the others as they grow.

Type What It Automates Example Tools How You Usually Pay Watch Out For
Email Sequences, follow-ups, warmup, and reply handling Smartlead, Instantly, Woodpecker, Lemlist, Mailshake By volume or per user Mailbox caps and deliverability
LinkedIn Connection requests, messages, and profile visits HeyReach, Expandi, Dux-Soup, Linked Helper, PhantomBuster Per connected LinkedIn account Account restrictions
Phone Dialing, call logging, and coaching SmartDialer, Aircall, Kixie, Orum Per user or by call credits Per-seat cost and low connect rates
Multi-Channel Coordinated sequences across the three channels above Smartlead, Reply.io, Outreach, Salesloft, Apollo, Lemlist Per user or by volume “Multi-channel” that really means separate modules

How does outreach software work?

Whatever the channel, outreach software follows the same loop:

  1. Load your prospects. Import a list or pull one from a data source, ideally with verified emails and phone numbers.
  2. Connect your sending accounts. That means mailboxes for email, a LinkedIn account for social steps, and a phone number or dialer for calls.
  3. Build a sequence. You set timed steps, such as an email on day 1, a LinkedIn request on day 3 and a call on day 5, with conditions that change what happens next.
  4. Let it send and track. The tool sends each step on schedule, tracks replies and stops the sequence for anyone who answers.
  5. Handle the replies. Responses land in an inbox or call queue, where reps answer, book meetings and sync the results to the CRM.

Two things decide what you actually pay: the pricing model and the add-ons.

Per-seat tools charge for every rep, so a five-person team pays five times the headline price.

Volume-based tools charge for contacts and sends, not people or mailboxes.

The prices below are the published or buyer-reported figures we could confirm in October 2026. Treat them as starting points and check the vendor's page before you buy.

What Are the Best Email Outreach Tools for Cold Outreach?

Email is where most outbound programs start, because the cost per touch is low and the infrastructure is well understood.

These cold outreach tools handle sequences, follow-ups, warmup and reply tracking at scale.

What separates them is less about features and more about three things: how many mailboxes you can connect, how you're billed, and how much help you get with deliverability.

For a sense of what good looks like, Smartlead's State of Cold Email 2026 report analyzed more than 850 million emails sent through the platform, counting only senders with at least 500 emails in the period. The report measures replies, not opens, because Apple Mail loads images automatically and inflates open rates.

We do the same in this guide.

The typical sender earned one reply for roughly every 135 contacts, a 0.74% reply rate.

The top 10% needed about 38. The report ties that gap to behaviors, such as list quality, bounce rate, how much each mailbox sends and personalization, rather than to any single tool.

Sender Group Contacts per Reply Reply Rate
Top 5% 26 3.85%
Top 10% 38 2.63%
Top 25% 70 1.43%
Typical Sender 135 0.74%
Bottom 25% 270 About 0.37%
Bottom 10% 625 About 0.16%

The top 10% were about 3.5 times more efficient than the typical sender, and the gap held month to month.

You can see where your own numbers land with the reply rate benchmark.

Tool Starting Price How You Pay Mailboxes Included Best For
Smartlead $39/mo By contacts and sends Unlimited High-volume cold email that grows into multi-channel
Instantly $47/mo ($37.60 billed annually) By volume Unlimited Email-only teams that want a simple setup
Woodpecker About $29 to $35/mo By contacted prospects (500 at entry) Unlimited (check warmup add-on costs) Small teams and agencies with modest volume
Lemlist $79/user/mo ($63 billed annually) Per user 3 per user, extra $9 each Creative, visual personalization
Mailshake About $59/user/mo (Email Outreach) Per user 2 on Email Outreach, 10 on Sales Engagement Straightforward SMB outbound

Here's what to look at when you compare them:

  • Mailbox limits. Smartlead and Instantly include unlimited mailboxes on every plan. Lemlist includes three sender addresses per user on its Email Pro plan and charges $9 a month for each extra one. If you plan to spread volume across 20 or more mailboxes (the typical Smartlead account runs 20), capped plans get expensive quickly.
  • Pricing model. Per-user plans suit one rep sending a few hundred emails a week. Volume-based plans suit teams and agencies, because adding a rep doesn't change the bill.
  • Deliverability support. Look for warmup, inbox placement testing and infrastructure options. Smartlead includes unlimited warmup, tests placement with SmartDelivery, and offers dedicated servers and IP pools through SmartInfra at $39 per server per month, with real-time blacklist monitoring on every server.

What else the benchmark shows about sending

  • Short first emails win. First emails under 50 words earned a 1.47% reply rate, or one reply per 68 contacts, against 97 contacts for emails of 100 to 149 words. See the ideal cold email length data.
  • The first email does most of the work. The first email in a sequence earned a 1.18% reply rate and the seventh earned 0.33%, or 85 versus 303 contacts per reply. The typical sequence has three emails, and the bottom 10% send just one. Our follow-up data has the full picture.
  • Timing matters less than people think. Reply rates peak around 7am in the recipient's time zone at 1.34%, against roughly 120 contacts per reply in the afternoon. The day of the week barely moves the number (0.82% to 0.91%). See best time of day.
  • Mailbox load is modest. The typical mailbox sends about 14 cold emails a day, the heaviest 10% send 42, and the safe limit is 50. The typical account runs 20 mailboxes. See how many mailboxes you need.
  • Provider and authentication show up in results. Gmail senders needed 90 contacts per reply, Outlook senders 120 and custom servers 179 (Gmail vs Outlook). Senders with SPF, DKIM and DMARC in place needed 108, against 120 without (authentication impact).
  • Bounces are the early warning. The typical bounce rate is 1.54%, the danger line is 2%, and a quarter of senders bounce at 3.21% or higher. See the bounce rate benchmark.

Smartlead is our pick for volume.

Matthew Lucero wrote on LinkedIn that "We've sent 10MM+ cold emails using Smartlead" and called it "the sequencer that is the backbone of our business." Ari Sohn of TxtCart reports "1.5M cold emails/month, 7,767+ inboxes managed."

Which LinkedIn Outreach Tools Are Worth Paying For?

LinkedIn outreach tools automate connection requests, profile visits and messages. Most teams run them next to an email tool, not instead of one, because LinkedIn works best as a second touch for people who haven't answered email. LinkedIn restricts automation, so account safety matters more than any feature list.

The main options:

  • HeyReach ($79 per sender per month, $63 billed annually): Cloud-based and priced per connected LinkedIn account, which makes it a favorite for agencies running many senders. It integrates directly with Smartlead.
  • Expandi ($99 per seat per month, $79 billed annually): Cloud-based with branching sequences and a strong safety focus. It also connects to Smartlead.
  • Dux-Soup (from about $15 a month): The cheapest way to start. The browser version runs from your own machine, so it needs your computer on, and the cloud plans cost more.‍
  • Linked Helper (from $8.25 per account per month): The safest choice for high-volume LinkedIn outreach, pairing a built-in anti-detect browser with a dedicated proxy for every account. AI-driven campaigns personalize each step, and it can run 24/7 on a VPS.‍
  • PhantomBuster (from roughly $50 to $70 a month, depending on billing): Data extraction and automation across LinkedIn and other platforms. Teams use it to pull LinkedIn data and push it into an email tool.‍
  • LinkedIn Sales Navigator (Core $119.99 a month, or $89.99 billed annually): LinkedIn's own search and InMail product, with 50 InMail credits a month. It has no automation built in, so it's for finding and prioritizing prospects, not for sending at scale.

On limits, HeyReach publishes a cap of 40 connection requests per day per account and recommends staying near 25, with new profiles ramped up from about 5 a day. Pick any tool you like. The safest habit is a slow ramp and low daily volume.

Smartlead handles LinkedIn through campaign steps and its HeyReach integration, launched in January 2026.

You can put LinkedIn and email steps in the same sequence, and prospects who don't respond on LinkedIn move automatically into Smartlead email follow-ups. LinkedIn is an add-on, not part of the base plan price, so check the pricing page for current rates.

What Phone Outreach Tools Do Sales Teams Use?

Phone outreach tools, also called dialers, automate cold calling workflows: working through a call list, logging and recording calls, and coaching reps.

Dialers come in three styles. A power (or sequential) dialer rings one lead after another from a list.

A predictive dialer rings several numbers at once and guesses when a rep will be free, which can drop calls.

A parallel dialer rings several lines and connects you to whoever picks up first.

Calling is the slowest channel to scale and the most expensive per seat, so most teams use it selectively, on prospects who have already shown some interest.

The case for adding it is in Smartlead's customer data from Q4 2024. Sequences with email and LinkedIn averaged an 8.7% reply rate. Adding phone lifted that to 14.2%. As with every number in Smartlead's data, it's an average across customers rather than a controlled test.

Speed is the other reason to care. In the State of Cold Email 2026 data, 64% of replies arrive within an hour and 88.5% within 24 hours, and the typical reply lands in about 10 minutes.

A prospect who just replied or is engaging with your sequence is the best person to call, and a dialer that shows their email history makes that call easier.

Your main choices:

  • Smartlead SmartDialer: A power dialer built into the same account as your email campaigns. Calling runs as a step in your sequence, reps see each lead's email history before they dial, and calls are recorded and transcribed. It's an add-on priced by call credits, so it isn't included in the $39 base plan. Details are in the next section.
  • Aircall: A cloud phone system with CRM integrations. Essentials is $30 per user per month and Professional is $50, both billed annually with a three-license minimum. The power dialer sits on Professional.
  • Kixie: A dialer with SMS and voicemail drop that works inside your CRM. The Integrated plan is $35 per user per month and Professional is $65. The power dialer tiers are quote-based.
  • Orum: An AI parallel dialer that places several calls at once. Its pricing isn't public, but buyers report entry plans from about $250 per user per month on an annual contract. It's a dialer only, with no email or LinkedIn sequencing.

How does auto dialing work in SmartDialer?

SmartDialer's auto dialing, also called sequential dialing, lets a rep select a batch of leads and start calling them in one go.

The leads are dialed one after another automatically, so reps stop clicking to start each call and only step in when someone answers.

Smartlead's SmartDialer is a power dialer: it rings one lead at a time and never several at once, so no answered call waits for a free rep. Sequential and power dialing are two names for the same thing.

How to start a dialing session

  1. Open SmartDialer and go to Call in Queue.
  2. Choose your list: Dialer Leads or Sequence Leads.
  3. Select the leads you want to call.
  4. Click Start Dialing.

How to control a session

  • Pause or stop. A status bar at the bottom of the screen shows progress. Use the pause icon to pause and resume where you left off, or click Stop to end the session. Stopping resets the list, so you select leads again to restart.
  • See what's next and what's done. Click View List in the status bar to open two tabs: In Queue for leads still to dial and Attempted for leads already tried.
  • Review the calls. Every call appears in Call Logs, the same as a manually placed call.

What SmartDialer does around the call

  • Local numbers. Search and buy US numbers by area code, tied to your workspace, from $1 per number per month. You can hold more than one and choose which to call from.
  • No dead time. Leads with no phone number are skipped automatically, and reps work from a managed queue with call scripts and lead assignment.
  • Recording and transcripts. Calls are recorded by default and transcribed, with timestamped, speaker-separated transcripts on the lead's timeline.
  • Post-call actions. Log a disposition, then send the lead to the next step, stop the sequence or keep it in the queue. SmartDialer can schedule follow-up emails, tasks and reminders automatically.
  • CRM sync. Notes, dispositions and next steps sync to Smartlead's built-in CRM, Smart Funnel, and call activity syncs with HubSpot. Smartlead also connects with Salesforce and Pipedrive.
  • Conversation intelligence. AI analyzes each call for sentiment, talk ratios and objection handling, so managers can see where to coach.
  • Live coaching is coming. SmartCoach, which will listen in real time and suggest responses to objections, is listed as coming soon.

SmartDialer is built for outbound SDR teams rather than support call centers.

If you're comparing dialers, see the SmartDialer vs Orum and SmartDialer vs Nooks pages. Parallel dialing multiplies dials per hour, but you still need a separate tool for every other channel.

Which Multi-Channel Outreach Tools Deliver the Best Results?

The best multi-channel outreach tools run email, LinkedIn and calls inside one sequence, with conditional logic and a single place for replies.

The test is simple: can a prospect's behavior in one channel change what happens in another, without you stepping in?

Tool Channels Starting Price AI Prospect Data
Smartlead Email, LinkedIn (add-on), calls (SmartDialer add-on) $39/mo SmartAgents SmartProspect (included on Unlimited Smart and Prime)
Reply.io Email, LinkedIn, calls, SMS, WhatsApp $89/user/mo billed annually ($99 monthly) Jason AI SDR, from $500/mo Credit-based
Outreach Email, calls, LinkedIn tasks Quote-based, buyers report about $100 to $150/user/mo Deal and conversation intelligence Not a data provider
Salesloft Email, calls, social tasks Quote-based, buyers report about $125 to $150/user/mo Rhythm AI guidance Not a data provider
Apollo Email, calls, LinkedIn $49/user/mo billed annually (Basic) AI sequencing Large built-in database, credit-based
Lemlist Email, LinkedIn, calls (Multichannel Expert) $109/user/mo ($87 billed annually) LemAI Built-in lead database, credit-based

Smartlead's own analysis of customer campaigns shows why teams add channels. In Q4 2024 data from the multi-channel outreach guide, reply rates rose with each channel added:

  • Email only: 2.3% reply rate, 0.8% meeting rate
  • Email plus LinkedIn: 8.7% and 3.1%
  • Email, LinkedIn and phone: 14.2% and 5.4%
  • Four or more channels: 22.1% and 8.3%

Read those as a direction, not a promise. They come from Smartlead customers who chose to run multi-channel campaigns, and they use a different group of senders than the 850 million email benchmark above, so don't compare the absolute numbers between the two.

One sender who describes themselves as a top 1% Smartlead sender by volume and performance shared their results on LinkedIn: 2.7 million cold emails in a month, a 20% average positive reply rate, more than 4,100 leads generated and more than 600 meetings booked from email and phone.

Those are one operator's numbers, and they depend on offer and list quality, but they show what a coordinated email-and-phone motion can do.

"Multi-channel" also means different things depending on the vendor. In some tools it's one sequence with several channel steps and conditional branching.

In others it's separate modules you manage side by side. In enterprise suites like Outreach and Salesloft, LinkedIn and some other steps are typically manual tasks handed to a rep, not automated sends.

Before you buy, ask for a demo of a prospect who opens an email and ignores a LinkedIn request, and watch what the sequence does next. For sequence ideas, see the multi-channel outreach platform comparison and the head-to-heads for Smartlead vs Outreach and Smartlead vs Apollo.

How Does Smartlead Cover All Four Types of Outreach Tools?

We build Smartlead, so weigh this section accordingly. Smartlead is positioned as an outbound operating system: prospecting, sending, multi-channel steps and reply management in one account. Here's exactly what's in the box and what costs extra.

Included in every plan

  • Email: unlimited mailboxes, unlimited warmup, mailbox rotation and a unified inbox that collects replies from every campaign.
  • Volume you pay for: plans differ by contacts and monthly sends, not by mailbox count.

Available on the plans or as add-ons

  • Prospecting: SmartProspect is a flat $59 a month add-on on Base and Pro. On Unlimited Smart and Prime, verified prospect emails are included (50,000 and 170,000 a month) alongside unlimited contact storage.
  • AI: SmartAgents are no-code agents that automate go-to-market workflows across Slack, Google Sheets, your CRM and Smartlead itself.
  • CRM: Smart Funnel is Smartlead's built-in CRM, covered below. Check the plan comparison on the pricing page for CRM access on your plan.
  • LinkedIn: campaign steps plus the HeyReach and Expandi integrations, as an add-on.
  • Phone: SmartDialer, a power dialer with auto dialing, call recording and transcription, post-call AI notes and CRM sync, sold by call credits. Live SmartCoach guidance is coming soon.
  • Deliverability: SmartDelivery for inbox placement tests, and SmartInfra for privatized sending infrastructure. SmartInfra gives you dedicated servers and IP pools, isolates every sequence in single-tenant clusters, runs on a US and EU server grid with 99.98% uptime, and monitors blacklists in real time with auto-alerts. Agencies can assign dedicated servers to individual clients. Servers are $39 each per month, and Unlimited Prime includes three. Ultra Premium Warmup adds a private, invite-only network of aged mailboxes.
Plan Monthly Price Contacts Emails Sent per Month Verified Prospect Emails
Base $39 2,000 6,000 2,000 (SmartProspect add-on, $59)
Pro $94 30,000 90,000 30,000 (SmartProspect add-on, $59)
Unlimited Smart $174 Unlimited 150,000 50,000, included
Unlimited Prime $379 Unlimited 500,000 170,000, included

Annual billing saves 17%, and every plan starts with a free trial. Agencies can add client workspaces from the Pro plan, and whitelabeling is $29 per client per month.

Built-in CRM: Smart Funnel

‍Smartlead includes its own CRM, so you can track deals without leaving the outreach workflow. Smart Funnel lives under the Deals tab in the Pipeline section of the sidebar (you may still see "CRM," its older name, in tooltips).

It's a kanban board tied to your Master Inbox, with default columns for New Lead, Email Sent and Reply Received, plus custom stages such as Interested or Meeting Booked.

Saved Views filter the board by client, campaign or workflow, and the sync works both ways: moving a card changes the lead's inbox category, and changing the category moves the card.

A separate All Leads view, with Email Leads and Dialer Leads tabs, gives you a flat, filterable list of every lead outside the board. It's a lightweight pipeline tool, not a forecasting suite, so enterprise teams with Salesforce or HubSpot workflows will still keep those and sync to them.

What to know before you buy: LinkedIn and SmartDialer aren't in the $39 base price, SmartCoach live coaching isn't released yet, and the platform has more depth than a simple sequencer, so expect a short learning curve. Customers on the platform describe the support side well.

How Do You Choose the Right Sales Outreach Tools for Your Team?

The right sales outreach tools depend on your team size, your channel mix and how much volume you send. Skip the feature matrix and start from the problem you're trying to solve:

  • Small team, tight budget: Smartlead Base at $39 a month covers email sequences, unlimited mailboxes, warmup and a unified inbox. Add LinkedIn or calling later, once email is working. Woodpecker (about $29) is an email-only alternative.
  • Email only, high volume: Smartlead or Instantly. Both include unlimited mailboxes. Smartlead adds multi-channel steps and AI agents if you grow into them.
  • Enterprise team built around Salesforce: Outreach or Salesloft for deep CRM workflows and forecasting. Many enterprise teams add a volume-based tool for cold email, and Smartlead connects to Salesforce, HubSpot and Pipedrive.
  • LinkedIn-heavy strategy: HeyReach or Expandi next to your email tool, Linked Helper if account safety is the top priority, or Smartlead with the HeyReach integration if you want both channels in one sequence.
  • Phone-first team: SmartDialer inside Smartlead for auto dialing tied to email history, or Orum if parallel dialing is the priority and you accept the per-seat price.
  • Creative personalization: Lemlist, if images and video are central to your outreach and your team is small enough that per-seat pricing stays reasonable.

How many tools should you run? Fewer than you think.

Every extra tool adds a login, a data sync and another place where a reply can sit unanswered for two days. A workable core stack is one multi-channel platform, one CRM and one calendar tool.

For smaller teams, a platform with a built-in CRM, like Smartlead's Smart Funnel, can cover the lightweight pipeline tracking and save a separate tool.

Add a dedicated LinkedIn or phone tool only when you've hit a concrete limit in the platform you already have.

Before you commit to anything, run a two-week test.

Send the same list through your shortlist, count replies and meetings, and look at what each platform does with a prospect who engages on one channel and goes quiet on another.

That test tells you more than any comparison page, ours included. When you get to follow-ups, our guides on cold email follow-up and follow-up templates cover timing and copy.

What Trends Are Shaping Outreach Tools in 2027?

Three shifts are changing how outreach tools are built and bought.

1. AI is moving from writing to doing

‍Most tools started by using AI to draft first lines.

The newer layer acts on its own: it categorizes replies, builds workflows and triggers next steps. Smartlead's SmartAgents work this way, and Reply.io sells an AI SDR called Jason from $500 a month.

When you evaluate AI claims, ask whether the tool acts across your workflow or only writes text, and whether it shows results against a non-AI baseline.

2. Platforms are absorbing adjacent tools

‍Vendors are adding channels, data and coaching to avoid being one line item in a larger stack.

Instantly now sells bundles that combine sending, a lead database and a CRM.

Orum, a dialer, reportedly acquired a conversation-intelligence company in July 2026 to build coaching into its product.

Smartlead added SmartDialer to sit next to email and LinkedIn. The practical effect for buyers is more overlap between categories, which is why the type-by-type framing in this guide is a starting point and not a wall.

3. Deliverability is a product feature, not a setup task

‍The benchmark shows why.

Senders with SPF, DKIM and DMARC in place needed 108 contacts per reply against 120 without, and warmup inbox placement sits near 99% across the major providers, which the report calls a health check, not a target.

Teams are also moving faster: the typical wait before a first campaign fell to 8.0 days, down from 9.4 a year earlier.

As volume grows, more senders are moving from shared sending setups to dedicated infrastructure, with their own servers and IP pools, isolated sequences and live blacklist monitoring, which is what SmartInfra provides.

Tools that include warmup, inbox placement testing and dedicated infrastructure address this at the source. If your outreach tool doesn't, you'll end up buying those separately.

Frequently Asked Questions

What are outreach tools used for?

Outreach tools are used to contact prospects at scale without doing every step by hand. Sales teams, agencies, recruiters and founders use them to build sequences, send emails, LinkedIn messages and calls on a schedule, track who replies and book meetings. They save the most time on repetitive work: follow-ups, reply tracking and keeping every prospect's history in one place.

How does outreach software work?

You load a list of prospects, connect your sending accounts, and build a sequence of timed steps across email, LinkedIn and phone. The software sends each step, tracks replies and stops the sequence for anyone who answers. Replies and call tasks land in an inbox or queue, where reps respond, book meetings and sync results to the CRM.

What are the main types of outreach tools?

There are four: email (sequence automation), LinkedIn (connection and message automation), phone (dialers and call coaching), and multi-channel (platforms that combine these channels in one sequence). Most teams start with email, add LinkedIn or calling once email is working, and move to a multi-channel platform as the stack grows.

Which outreach tools are best for small teams?

For a small team, Smartlead's Base plan at $39 a month covers email sequences, unlimited mailboxes, warmup and a unified inbox, and you can add LinkedIn or SmartDialer as add-ons later. Instantly (from $47 a month, or $37.60 billed annually) and Woodpecker (from about $29) are email-only alternatives. Per-seat tools like Lemlist and Reply.io cost more as you add reps.

Do I need separate tools for email and LinkedIn outreach?

Not necessarily. Smartlead supports LinkedIn steps as an add-on and integrates with HeyReach and Expandi, so email and LinkedIn steps can live in one sequence. You'd choose a separate dedicated LinkedIn tool if you need features beyond that, such as managing many LinkedIn senders for several clients, keeping accounts protected with Linked Helper’s anti-detect browser, or large-scale data extraction with PhantomBuster.

How many outreach tools should a sales team use?

As few as you can manage. A workable core stack is one multi-channel outreach platform covering email, LinkedIn and calls, one CRM and one calendar tool. Some platforms, including Smartlead, include a built-in CRM that can cover simple pipeline tracking. Add a dedicated LinkedIn or phone tool only when your main platform can't do something you need, because every extra tool adds a login, a data sync and a place where replies can get lost.

What is the difference between outreach tools and a CRM?

Outreach tools handle prospecting and first contact: building sequences, sending messages, managing replies and booking meetings. A CRM such as Salesforce or HubSpot manages deals after a meeting is booked, covering pipeline stages, forecasting and customer records. They work together, and most outreach platforms, including Smartlead, sync with the major CRMs. Outreach software doesn't replace Salesforce or HubSpot, because the CRM stays the system of record while the outreach tool handles execution. Some platforms blur the line with a built-in CRM: Smartlead's Smart Funnel is a kanban pipeline connected to the inbox, which suits simple deal tracking.

What is a good reply rate for cold email?

The median sender earns a 0.74% reply rate, or one reply per 135 contacts, in Smartlead's State of Cold Email 2026 report, which covers more than 850 million emails. The top 25% reach 1.43%, the top 10% reach 2.63% and the top 5% reach 3.85%. Those figures count replies from senders with at least 500 emails in the period, so they're a realistic baseline for cold outreach, not a best case.

What is a power dialer, and how does auto dialing work in SmartDialer?

A power dialer works through a call list and dials the next lead as soon as a call ends. In SmartDialer, you open Call in Queue, choose Dialer Leads or Sequence Leads, select the leads and click Start Dialing. Leads are called one after another without a click per call. You can pause and resume from the status bar, view In Queue and Attempted leads, and find every call in Call Logs.

How many mailboxes and daily emails do you need?

Divide your daily volume by what each mailbox sends. In Smartlead's benchmark, the typical mailbox sends about 14 cold emails a day, the heaviest 10% send 42, and the safe limit is 50. The typical account runs 20 mailboxes. At 30 emails per mailbox, sending 1,000 emails a day takes about 34 mailboxes.

Does Smartlead have a built-in CRM?

Yes. Smart Funnel is Smartlead's built-in CRM, found under the Deals tab in the Pipeline section of the sidebar. It's a kanban board connected to the Master Inbox, with default columns for New Lead, Email Sent and Reply Received and custom stages you add. Moving a card updates the lead's inbox category and the reverse, and Saved Views filter by client, campaign or workflow. Smartlead also connects with HubSpot, Salesforce and Pipedrive if you prefer an external CRM.

Are there free outreach tools?

A few, with limits. Apollo has a free plan with a small monthly allowance of contact credits, and Dux-Soup offers a limited free LinkedIn plan. Most email and multi-channel tools offer free trials rather than free plans. Smartlead starts with a free trial and doesn't require a credit card, and paid plans start at $39 a month. Free tiers work for testing a small list, but they usually cap contacts, sends or credits well before you run a real campaign.

What are AI outreach tools, and do they replace SDRs?

AI outreach tools use AI to research prospects, write messages and manage follow-ups. They fall into two groups: copilots that draft while a rep reviews and sends, and agents that act on their own, such as categorizing replies or running workflows. They take over repetitive work but don't replace people. Reps still handle conversations, calls and deals, and someone needs to own list quality and offer.

Is Outreach the same thing as outreach tools?

No. Outreach, with a capital O, is a specific sales engagement platform sold to enterprise teams. "Outreach tools" is the wider category, which includes Outreach along with email senders, LinkedIn tools, dialers and multi-channel platforms such as Smartlead, Reply.io and Apollo. The phrase is also used for PR and link-building outreach tools, which are built for journalists and website owners rather than sales prospects.

How much do outreach tools cost?

It depends on the pricing model. Volume-based email tools start around $29 to $47 a month. Per-seat sales engagement tools such as Reply.io, Lemlist and Apollo run roughly $49 to $109 per user per month, and enterprise suites like Outreach and Salesloft are quote-based, with buyers reporting about $100 to $150 per user per month. LinkedIn and phone tools are priced per account or per user, so multi-channel stacks often cost more than the headline price suggests.
