How Many Touchpoints Does It Take to Book a B2B Meeting?

How many touchpoints to book a B2B meeting? Most articles answer with a single number, usually eight, and very few say where it came from.

When we traced the two most quoted figures, one led to a 2018 survey of sellers and buyers.

So we used newer data: Smartlead’s State of Cold Email 2026, built from 850 million emails sent through Smartlead between January and June 2026.

The question is also slightly off.

A touchpoint count on its own tells you little, because the right number shifts with the channels you use and the seniority of the person you’re writing to.

Five emails to a founder and five touches across email, phone and LinkedIn to a CFO are very different plans.

That dataset shows where replies land across an email sequence, step by step. From there, this guide gives a planning range by segment, the point where extra steps stop paying, and a way to structure the sequence.

TL;DR

  • Smartlead's State of Cold Email 2026, drawn from 850 million emails sent between January and June 2026, puts the first email's reply rate at 1.18%, falling to 0.33% by the seventh.
  • In that data, a three-email sequence earns about 25 replies per 1,000 contacts, five emails about 33 and seven about 40. Gains shrink after the fourth email.
  • For most cold B2B outreach, plan 3 to 5 emails. For senior or multi-stakeholder buyers, add phone or LinkedIn touches rather than more emails.
  • The popular "8 touches" figure comes from a 2018 RAIN Group survey that counts every channel. The "80% of sales need 5 follow-ups" claim traces to a 1942 survey of closed sales.
  • Touchpoint count is the wrong unit on its own, because channel mix and seniority change the answer.
  • These figures stop at the reply. How many replies become meetings depends on your offer and your qualification.

Why the Popular Touchpoint Numbers Don't Hold Up

Two numbers dominate search results for this question, and both come from real surveys. The trouble is that they measure something different from what most readers want to know, which is usually how many emails a cold sequence should have.

The first is eight. It comes from RAIN Group's Top Performance in Sales Prospecting research, which found sellers needed an average of 8 touches to get an initial meeting, and top performers needed 5.

The study was published in 2018 and drew on 489 sellers and 488 buyers. A touch there covers any channel, so calls, emails and social messages are counted together.

The second is the claim that 80% of sales happen between the fifth and twelfth contact, usually credited to the National Sales Executives Association.

‍Sales & Marketing Executives International, the same association under its current name, traced the figure in its own archives to a 1942 survey by its Long Island chapter of calls made against sales made. It describes closing sales through sales calls, not booking a first meeting from cold outreach.

Many newer articles quote ranges such as 8 to 12 touches without naming any source at all. For a planning decision, measured data on where replies arrive is more useful than any of these.

It also helps to separate two questions that often get blended together.

Touches to book a first meeting is the question this guide answers. Touches to close a deal is a different, much larger number, because it spans the whole sales cycle and everyone in the buying group.

Where Replies Land Across a B2B Email Sequence

The first email does the most work, and every follow-up after it earns fewer replies than the one before.

In the State of Cold Email 2026, the reply rate drops by more than a third at the second email and keeps falling, though even the seventh email still earns some replies.

Smartlead State of Cold Email 2026

Per-step rates only tell half the story. What a sequence earns in total depends on how many steps it has, and Smartlead's follow-up benchmark adds the steps up:

Emails in the Sequence Replies per 1,000 Contacts Share of Replies From Follow-Ups
1 12 0%
2 19 38%
3 25 52%
4 30 60%
5 33 65%
7 40 71%

Two things stand out. Follow-ups matter a lot, since a three-email sequence gets roughly half its replies after the first email.

But the gain from each extra step shrinks: the second email adds about 7 replies per 1,000 contacts, while steps five to seven add about 3 or 4 each.

The typical sender in the data runs a three-email sequence, and only the longest 10% run five or more, according to Smartlead's sequence length benchmark.

A few limits apply. The totals assume every contact receives every step.

Senders who run long sequences may differ from those who stop early, so later steps won't perform the same way on every list.

The data also measures replies, not meetings, so the step from reply to booked call depends on your offer and how you qualify.

Why Touchpoint Count Alone Is Misleading

A touchpoint count treats every action as equal, and they aren't. A cold email, a phone call and a LinkedIn connection request ask different things of the buyer.

Two variables move the right number more than anything else: the mix of channels in your sequence, and how senior and how numerous the people you need to reach are.

Channel Mix

Buyers accept meetings through more than one channel. In RAIN Group's research, 58% of buyers said the seller reached them by email for the most recent meeting they agreed to, and 54% said by phone.

So a sequence of five emails and a sequence of three emails plus two calls might both count as five touches, but they reach the buyer in different ways.

Smartlead's dataset covers email only, so the step data in this guide describes the email part of any sequence, not the whole thing.

Seniority and Buying Groups

The more senior and complex the purchase, the more people you need to reach.

Forrester's State of Business Buying 2024 found that 13 people are involved in the average B2B buying decision, and 89% of purchases involve two or more departments.

For a large account, the touch count per person may stay similar while the count per account multiplies.

We don't have a measured figure for how reply rates change with seniority, and we haven't found a published one we'd stand behind.

Our working assumption is that senior buyers get more outreach and need longer gaps and more than one channel. Treat that as an assumption to test against your own data, not a benchmark.

A Planning Range for Touchpoints by Segment

For most cold B2B outreach, 3 to 5 emails is a defensible starting point, with phone or LinkedIn touches added as buyers get more senior.

The ranges below are planning assumptions built from the sourced figures in this guide, not measured outcomes, so adjust them once your own reply data comes in.

Segment Email Steps Other Touches Total Per Person What the Range Rests On
SMB, Founder or Owner Buying 3 to 4 0 to 1 3 to 5 Smartlead's typical sequence of 3 emails, with returns flattening after email 4
Mid-Market, Manager or Director 4 to 5 1 to 2 phone or LinkedIn touches 5 to 7 RAIN Group's top-performer average of 5 touches
Enterprise or C-Level, Buying Group 4 to 5 2 to 3 phone or LinkedIn touches 6 to 8, across 2 to 3 people RAIN Group's average of 8 touches and Forrester's 13-person buying group

The enterprise row changes shape more than size. Rather than sending a seventh email to one executive, it spreads a normal sequence across two or three people in the buying group.

Diminishing Returns: Where Extra Steps Stop Paying

In the Smartlead data, returns flatten after the fourth email. Going from four emails to five adds about 3 replies per 1,000 contacts, and going from five to seven adds about 7 more in total, compared with 7 for the second email alone.

Past that point, the question is less about replies and more about risk.

The follow-up benchmark is clear that it can't measure annoyance, unsubscribes or spam complaints, so the cost side of a long sequence is outside the dataset.

The closest published reference point is Google's.

Its sender guidelines ask senders to keep their user-reported spam rate below 0.1% and never let it reach 0.3%. Those rules cover mail to personal Gmail accounts rather than Google Workspace addresses, but they show how small the margin is.

Put the two side by side.

The seventh email earns a 0.33% reply rate, which is about the same size as Google's spam ceiling. We can't say how many recipients complain at step seven. But a late step needs only a small share of irritated recipients to cost more than it earns.

Expert note: stop the email sequence at four or five steps for most lists, and give the remaining non-responders a different channel or a fresh angle later rather than more of the same.

How to Structure a Sequence Instead of Counting Touchpoints

The useful output of this question is a sequence shape, not a number.

Put the strongest message first, give each follow-up its own reason to exist, space the steps so replies have time to land, and stop before returns turn into risk.

For larger accounts, reach more people rather than sending more emails to one.

  • Make email 1 count. It earns a reply every 85 contacts against 303 for email 7, and in the State of Cold Email 2026, first emails under 50 words had the highest reply rate, at 1.47%.
  • Give each follow-up a new angle. A different proof point, a sharper question or a relevant trigger gives the reader a reason to reply that the first email didn't.
  • Leave room between steps. In the same dataset, 64% of replies arrive within an hour of an email and 88.5% within 24 hours, so a gap of a few days between steps catches most replies before the next one goes out. The exact gap is a judgment call, and we haven't seen data that pins down a best one.
  • Stop at four or five emails. Move non-responders to another channel or a new campaign later.
  • Multi-thread larger accounts. Run a normal-length sequence to two or three roles in the buying group instead of a long one to a single executive.
  • Track replies per 1,000 contacts by step. Your own step curve will tell you more than any published average, including this one.

If you're deciding whether to run this yourself or hand it over, our guide to what B2B appointment setting is explains how the outsourced version works, and our list of appointment setting companies compares providers.

Where SmartServices Fits

SmartServices is Smartlead's managed outbound team.

We build the sequences described in this guide, run them inside your own Smartlead account and pass booked meetings to your team.

You approve the targeting and the angles at the start and take the calls.

Since this is our own service, we'll keep to what's included and how it relates to the data above:

  • Sequences built around the step curve, with a strong first email, a distinct angle for each follow-up and a stopping point before returns turn into risk.
  • Copy written for each signal and segment, with ongoing A/B testing across subject lines, angles and sequences.
  • New lists every week from 12+ databases, so non-responders can be moved to a new angle rather than kept in a long sequence.
  • A dedicated GTM engineer and account manager who work the replies, plus a short written update every week and a monthly strategy call.

Your side is about an hour up front to align on your ICP and offer, then one monthly call. SmartServices isn't a good fit if you're still working out who you sell to, or if you'd rather stay hands-on in day-to-day campaigns.

Two Sample Sequences to Book a B2B Meeting

The two sequences below put the guide's findings into a shape you can copy.

The step counts follow the reply data and the segment ranges above.

The spacing between steps is our assumption, informed by how quickly replies arrive, rather than a measured optimum, so treat the days as a starting point.

Email-Only Sequence for SMB and Founder-Led Buyers

Day Channel What the Step Does
1 Email 1 Under 50 words. One problem, one relevant reason you're writing, and one easy question.
4 Email 2 Introduce a new angle, such as a short result or proof point from a similar company.
8 Email 3 Use a different trigger or a sharper question tied to their role.
13 Email 4 Close the loop. Say you'll stop writing and leave the door open.

Multichannel Sequence for Mid-Market and Enterprise Buyers

Day Channel What the Step Does
1 Email 1 Short opener built on a specific trigger, such as a hire, a funding round, or a tool change.
2 LinkedIn Send a connection request with no pitch.
4 Email 2 Introduce a new angle with proof relevant to their department.
6 Phone Call referencing the emails, with a brief voicemail if unanswered.
9 Email 3 Ask a different question or share a short insight about their market.
12 LinkedIn Send a message that adds something new rather than repeating the email.
15 Email 4 Close the loop.

Frequently Asked Questions

These are the questions people ask most about touchpoints and follow-ups in B2B outreach. Each answer stands on its own and uses the same sources as the rest of this guide.

How Many Touchpoints Does It Take to Book a B2B Meeting?

There's no single reliable number, because it depends on channel mix and buyer seniority. For cold email, 3 to 5 steps is a defensible plan, based on Smartlead data showing returns flattening after the fourth email. For senior buyers, add phone or LinkedIn touches and reach more than one person.

How Many Follow-Up Emails Should a Cold Sequence Have?

Two to four follow-ups after the first email suits most lists. In Smartlead's data, a three-email sequence earns about 25 replies per 1,000 contacts and five emails about 33. Steps beyond that add about 3 or 4 replies per 1,000 each.

Is It True That 80% of Sales Happen After the Fifth Contact?

The claim traces to a 1942 survey by a local chapter of what is now Sales & Marketing Executives International, measuring sales calls against closed sales. It doesn't describe booking meetings from cold email, so it shouldn't be used to plan a modern sequence.

Which Email in a Sequence Gets the Most Replies?

The first. In Smartlead's data it earns a 1.18% reply rate, about one reply per 85 contacts. The second earns 0.73% and the seventh 0.33%.

When Should You Stop Following Up?

For most lists, after four or five emails. Gains per step fall to about 3 replies per 1,000 contacts beyond that point, while the cost side, such as unsubscribes and spam complaints, isn't measured in Smartlead's data and needs watching in your own. Move non-responders to another channel or a new campaign later.

How Many Touchpoints Does Enterprise Outreach Need?

More people rather than more emails. Forrester found 13 people involved in the average B2B buying decision. A normal four- or five-step sequence to two or three people in the buying group, plus phone or LinkedIn touches, usually makes more sense than a long sequence to one executive.
