How Many Cold Emails Can You Send Per Day Per Inbox

Every new sender asks this, and the answer they get back is almost always the same useless phrase - it depends. Which is true, and also no help when you are staring at a campaign builder trying to pick a number.

So here is the honest version. The safe number for most warmed up mailboxes is 30 to 50 cold emails per day. A brand new mailbox should start much lower, around 5 to 10, and ramp up over two to three weeks. If you need to send more, you add mailboxes, you do not push one inbox harder. That is the whole answer. The rest of this explains why, and how to know your own number.

Why is there no single right number?

Because the safe limit shifts with the state of your sending setup. Two people can send from the same provider, with the same copy, to the same kind of list, and have completely different ceilings. The difference comes from how old the domain is, whether warmup has finished, how clean the list is, and what the sending history on that mailbox looks like.

Send 200 emails on day one from a fresh mailbox and you will get throttled before lunch. Send the same 200 from a mailbox that has been warming for two months and sending healthy volume the whole time, and you are inside a normal day's work. So you are not working with one number. You are working with a range that grows as the account matures.

What actually changes your number?

A handful of things decide where your safe limit sits on any given day.

  • Domain age. A new domain has no reputation and gets treated as untrusted by default. An older domain that has sent real email for a year carries built up trust.
  • Warmup status. A mailbox that has not been warmed up sits at the bottom of the range. One that has finished a full warmup cycle sits near the top.
  • Provider. Gmail and Outlook each have their own sending limits and their own sensitivities, and Gmail is stricter on early volume.
  • List quality. A clean, verified list keeps your limit high. A list full of catch-all addresses and dead emails drags it down fast, because bounces and complaints are the quickest way to get throttled.
  • Engagement. If people open and reply and do not mark you as spam, providers give you more headroom. If your complaint rate creeps up, your safe number drops, sometimes overnight.

So what are the real numbers?

Here is what it looks like in practice, and the data backs it up. Woodpecker looked at over 20 million cold emails and found that mailboxes sending 20 to 49 a day earned a 5.7% reply rate. Push to 50 to 99 and it dropped to 3.1%. Go past 100 and it crashed to 1.4%, with bounce rates more than four times higher. Higher volume from one inbox does not buy you more replies. It buys you more spam complaints.

So the working ranges are simple.

  • New domain, still in warmup: keep cold sends to about 5 to 10 a day, and let warmup do the rest.
  • Warmed up, healthy history: 30 to 50 cold emails per day per inbox. That is your cruising speed.
  • Tempted to push past 50 from one inbox: do not. Even when you technically can, deliverability starts to slide. Add mailboxes instead.

How do you ramp a new mailbox?

You do not go from zero to full volume. The schedule that works looks like this.

  • Week 1: warmup only, no campaign sends. Warmup sends small volumes to real inboxes that open and reply, building positive signals.
  • Week 2: 5 to 15 campaign emails a day, to your highest quality leads, with warmup still running. Watch your bounce rate, and if it goes over 3% slow down.
  • Week 3: 15 to 30 a day, adding a little at a time.

Skip this and you pay for it later. The slow build is the cheaper path.

What happens if you push too hard?

The failure is quiet. There is no red banner. Open rates drop, replies dry up, bounces creep, and the mailbox starts landing in spam without you noticing, because most senders never check their seed inbox placement. By the time you spot the drop and start digging, you may have burned the reputation, and recovering takes weeks of cooling off and re-warming. Staying inside a safe limit is far cheaper than repairing the damage.

How do you scale past one inbox?

If you want to send a thousand cold emails a day, you do it from many mailboxes, not one. Serious senders connect five, ten, or more to a single campaign and rotate the sending across all of them, so each mailbox stays inside its own safe limit while the campaign sends at the volume you actually want.
