Guide to Zoho IMAP settings

IMAP stands for Internet Message Access Protocol. It is a protocol for email storage and retrieval. It syncs with the servers and maintains the status of messages across multiple email clients.

In addition to the above, it also

➡️Allows you to download messages (emails) from your Zoho Mail server like POP3

➡️Allows to access emails with desktop email clients like Outlook and Mac Mail

➡️Allows to access emails with mobile email clients like iPhone and Android email apps

NOTE: Zoho Mail can be configured on any standard IMAP email client using the IMAP and SMTP Server Settings.

How to Enable the “Expunge Immediately” option in your Zoho Mail?

What is “Expunge Immediately” in Zoho

An email message is deleted or moved to another folder when you delete an email or move it to another folder in your IMAP client, as per your IMAP settings.

You can enable the “Expunge Immediately” option to make these changes immediately in your IMAP account.

How to Enable it

  • First, login to your Zoho Mail account
  • Then, go to settings
  • Next, click on Mail Accounts
  • Next, go to a page like below. Click on the respective email address that you want to enable the “expunge immediately” option
  • Now, click on the “IMAP” section
  • After that, you will see an “auto-expunge emails” box on your screen.

***If you click on the “auto-expunge” box, your messages will be deleted from the Zoho Mail server once you delete/ move emails in the IMAP client.

***If you don't click on the “auto-expunge” box, the emails won’t be removed from the Zoho Mail server unless they are manually expunged from the IMAP client.

What to do when you are unable to login from IMAP clients?

It can happen for two reasons:

  1. You have a Two-Factor Authentication enable for your account
  2. Or, you are a Federated Sign In user

In case of the first reason, you need to generate and use the Application-specific Password in the IMAP client you use.

Now, the second reason. A Federated Sign In user means you are signing in using Google Apps, Gmail, orFacebook, etc., which also means you DON’T have a Zoho exclusive password. To be able to login from IMAP client, you must generate a Zoho specific password

Do I need to enable IMAP access in my Zoho Mail settings?

Yes, enabling IMAP access in your Zoho Mail settings is necessary if you wish to access your Zoho Mail account through other email clients using the IMAP protocol. This allows for a seamless synchronization of your emails across multiple devices.

Where can I find Zoho Mail's IMAP server settings?

Zoho Mail's IMAP server settings are essential for configuring your email client and can be found within the Zoho Mail settings. These settings include the incoming mail server (IMAP), which you'll need alongside your Zoho email address and password to complete the setup in your preferred email client.

What is the difference between IMAP and POP3 for Zoho Mail?

IMAP and POP3 are both email retrieval protocols, but they serve different purposes. IMAP (Internet Message Access Protocol) syncs your email across multiple devices, reflecting changes in real-time on all platforms. POP3 (Post Office Protocol 3), however, downloads emails from the server to a single device, without syncing these actions back to the server or other devices. For Zoho Mail, using IMAP is recommended for users who access their email from multiple devices due to its syncing capabilities.

Can I access my Zoho Mail with Gmail or Outlook?

Yes, you can access your Zoho Mail account through third-party email clients like Gmail or Outlook by configuring the Zoho SMTP and IMAP settings. This integration requires the IMAP server settings for Zoho Mail, ensuring that you can send and receive emails through your preferred email client seamlessly.

I enabled IMAP, but I'm not seeing all my Zoho Mail folders in my email client.

If you've enabled IMAP but aren't seeing all your Zoho Mail folders in your email client, you may need to adjust the folder view settings within your Zoho Mail account. This ensures that all selected folders are visible and synced across your email clients, providing a unified view of your emails.

My emails are deleted from my phone, but they're still in Zoho Mail. How can I fix this?

To ensure that actions such as deleting emails from your phone are reflected in your Zoho Mail account, you should enable the "Expunge Immediately" option in your Zoho Mail settings. This setting ensures immediate synchronization between your email client and Zoho Mail, including the deletion of emails, maintaining consistency across your devices.

What’s a Rich Text element?

The rich text element allows you to create and format headings, paragraphs, blockquotes, images, and video all in one place instead of having to add and format them individually. Just double-click and easily create content.

  • dfbvrsg
  • svsv

Static and dynamic content editing

A rich text element can be used with static or dynamic content. For static content, just drop it into any page and begin editing. For dynamic content, add a rich text field to any collection and then connect a rich text element to that field in the settings panel. Voila!

How to customize formatting for each rich text

Headings, paragraphs, blockquotes, figures, images, and figure captions can all be styled after a class is added to the rich text element using the "When inside of" nested selector system.
