However, if you are moving from an existing system to a new one, such as Google Workspace, you might want to transfer your old emails to your new account.

Google Workspace (formerly G-Suite) is a popular productivity and cloud-based email solution. Many organizations have made the switch to it. This article focuses on the steps involved in migrating email to Google Workspace and covers various migration options available to ensure a smooth transition.

So, without further ado, let’s get started.

  • Google Workspace Account: Ensure a Google Workspace account is set up and properly configured. You'll need administrative access to manage the migration.
  • Domain Verification: Verify your domain's ownership within Google Workspace to ensure a smooth transition and prevent disruptions to email delivery.
  • Backup Data: Before starting the migration, it's advisable to backup your existing email data to prevent any loss or corruption during the migration process.

2) Choose the migration method

Google Workspace offers several migration tools and methods to suit different migration scenarios:

If you migrate email to Google Workspace using the Data Migration feature within the Google Admin Console, follow the steps below.

There can be a number of scenarios when you migrate from one email server to Google Workspace. Hence, I have created separate sections for your ease:

a) When Migrating Email From Exchange or Exchange Online

Step 1) Setting Up Data Migration Service
Set up Exchange Online:
  • Before you begin, you have to prepare your source account. The details are available here.
  • Next. to schedule your migration, choose a start date for the migration process.
  • Next, select data to migrate. You can either accept the default options or choose specific data to transfer (e.g., emails only).
  • Lastly, click "Select Users" to choose which email accounts you want to migrate.
Set up Other Exchange Versions (2007 or later):

Important: You'll need a super administrator account to perform these steps.

  • Navigate to the Admin console menu and select "Account" followed by "Data migration."
  • Click "Set Data Migration Up."
  • Choose your specific Exchange version from "Migration Source" and select "Email" as the data type to be migrated.

Connection Details:

Option 1: Auto Select (Recommended): This is the preferred option for a smooth connection.

Option 2: Manual Configuration (Exchange Web Services - EWS): If auto-select fails, enter your EWS server name (e.g., "https://outlook.office365.com/EWS/Exchange.asmx") in the "Server URI" field.

  • For the role account, provide the email address and password for a dedicated account with the necessary permissions to access your Exchange data.
  • Click "Start." (Double-check the role account information and connection protocol if the initial attempt fails).
  • Once connected, choose a start date for the migration and define any specific data filtering options.
  • Click "Select Users" to specify which email accounts you want to migrate.
Step 2) Migrate Email from Exchange

There are two methods to migrate email depending on the number of users:

Migrating a Single User:

  • Click "Add user."
  • Enter the user's source email address in the "Source Email" field.
  • Begin typing the user's new Google Workspace email address and select the correct option from the suggested list.
  • Click "Start" to initiate the migration for this user.

Migrating Multiple Users:

  • Click "Bulk upload with CSV."
  • Click "Attach File" to upload a CSV file containing a list of email addresses. The file should include each user's source email addresses from Exchange and the corresponding new Google Workspace email addresses.

Important: Ensure the CSV file only contains email addresses you intend to migrate. Read this for more details.

  • Click "Upload and Start Migration" to initiate the bulk migration process.
  • If your CSV file contains errors, you can either choose to "Cancel" and update the file or select "Ignore errors" to proceed with the migration despite the mistakes.

Tip: Once a migration is complete, you can exit it by clicking "More" followed by "Exit migration.

b) When Migrating From Any IMAP-based Webmail Provider

This guide outlines the steps to migrate your email from an IMAP-based webmail service (like Gmail, Yahoo Mail, etc.) to Google Workspace.

Step 1: Set up Data Migration

Similar to migrating from Exchange, ensure you have the necessary permissions. Regular user accounts might not have access. If you encounter issues, switch to a super administrator account.

Setting Up Data Migration Service (Similar to Exchange/Exchange Online - Refer to the steps we discussed in Exchange Migration for details)

  • Access the Admin Console and navigate to "Account" followed by "Data migration."
  • Click "Set Data Migration Up" to initiate the migration process.
  • Choose "Other IMAP Server" as the migration source and confirm "Email" is selected as the data type.
  • Follow the on-screen instructions to establish a connection using either Auto Select (recommended) or by manually entering your IMAP server address.
  • Provide the email address and password for a special account with access to your IMAP server's email data (similar to a role account in Exchange).
  • Once connected, define a start date for the migration and any specific data filtering options you may desire.
  • Select "Select Users" to specify which email accounts you want to migrate.
Step 2: Migrating Emails from IMAP Providers

There are again two methods to migrate email depending on the number of users:

Migrating a Single User:

  • Click "Add user."
  • Enter the user's email address from their current IMAP account in the "Source Email" field.
  • Begin typing the user's new Google Workspace email address and select the correct option from the suggested list.
  • Enter the user's password for their current IMAP email account in the "Password" field.
  • Click "Start" to begin migrating this user's email.

Migrating Multiple Users:

The process of bulk migrating users is similar to what we discussed previously.

c) When Migrating From Google Workspace

This section covers migrating email from a different Google Workspace account to your current Workspace domain using the data migration service.

Important: You will need super admin access to perform these actions.

Step 1: Set Up Data Migration

Set Up Data Migration Service (on Target Workspace Domain):

  • Access the Admin console and navigate to "Account" followed by "Data Migration."
  • Click "Set Data Migration Up" to initiate the migration.
  • In Migration Source, choose Google Workspace.
  • Click "Start."
  • Define a start date for the migration and any specific data filtering options you may desire.
  • Select "Select Users" to specify which email accounts you want to migrate.
Step 2: Migrate Email From Another Google Workspace Account

Just like the above sections, you will find two options to migrate emails:

Migrating a single user (refer to the steps we discussed in IMAP Migration) (The only difference will be the password field. Here, unlike migrating from other sources, enter the user's password for their source Google Workspace account in the "Password" field.)

Migrating Multiple Users (refer to the steps we discussed in the above migration scenarios)

d) When Migrating From Personal Gmail Account

This section details migrating email from a personal Gmail account to your Google Workspace domain.

Before you begin, you must ensure that you have prepared the source account. (we discussed this in the first scenario) Next, ensure the user whose data you're migrating is available to sign in to their Gmail account and grant permission for the migration.

The user will have 10 minutes to authorize the migration after signing in to their Gmail account.

Important: Similar to other migration methods, regular user accounts cannot perform these actions. Switch to a super administrator account if necessary.

Once done with the above steps, proceed further:

Steps to migrate from personal Gmail account:

Set Up Data Migration Service (on Target Workspace Domain):

  • Access the Admin console and navigate to "Account" followed by "Data Migration."
  • Click "Set Data Migration Up" to initiate the migration.
  • Choose "Gmail" as the migration source.
  • Click "Start."
  • Define a start date for the migration and any specific data filtering options you may desire.

Select User and Authorize:

  • Click "Select Users" and then "Add user."
  • Enter the user's Gmail address in the "Source Email" field.
  • Click "Authorize" to begin the authorization process. In this step, the Gmail account owner will be prompted to sign in to their Gmail account. They will then need to review and grant permission for Google Workspace to view and manage their mail by clicking "Allow."

Important Reminder: The user has only 10 minutes after signing in to grant permission before the authorization expires.

  • Once authorized, enter the user's new Google Workspace email address within your domain and select it from the suggested list.
  • Click "Start" to initiate the migration for this user's Gmail account.

To migrate additional users, repeat the above steps.

4. Verifying the Migration

After the migration, verifying that all email data, contacts, and calendar events have been successfully transferred to Google Workspace is crucial. Conduct thorough testing to ensure that email delivery, folder structure, and other settings function as expected.

5. Updating DNS Records (if necessary)

If you're migrating from another email provider and using a custom domain with Google Workspace, you may need to update your DNS records to point to Google's mail servers. Follow Google's instructions to update your DNS settings to ensure uninterrupted email delivery.
